Site Admins can archive users, and also restore access to multiple archived users at once by uploading a CSV file. An archived user will not be able to log in, and all created assignments will be closed. In this article, you will learn how to:
Note
Assignment data will not be deleted for users who are archived. To complete the following steps, you must first export a list of users within your site. This article explains how to complete an export:
Archiving multiple users
- Log in with your Site Admin account.
- Click your profile icon at the top-right corner.
- From the drop-down menu, click Admin.
- Select the Users tab in the Site Admin page.
- Click the red Delete users dropdown.
- In the Actions menu, click Archive users from a CSV file.
- Select the appropriate role, Staff or Student, from the dropdown.
- Ensure your exported CSV contains the required column, and within the column are only the users you wish to archive:
- Students: required column is username
- Staff: required column is email
- Click the Select a document button, and navigate to where your document is located. Select your document to upload your CSV.
- Once the document has uploaded successfully, the document name appears under that button. Click Upload to archive the list of users.
- Verify the information on the confirmation screen to ensure the first couple rows of data look correct. Click Archive to complete the process.
- Depending on the size of your file, it may take a few minutes to process. You will automatically be directed to the User Jobs tab where you can check the status of the archive.
Restoring access to multiple archived users
Site admins can restore access to, also referred to as unarchiving, multiple archived users using a CSV import. The easiest way to do this is export your list of users, then import them again using the student or teacher import template.

Export your list of users in your site. If you need help, please see the instructions in this article:

On the export CSV file, remove any active accounts leaving only the archived accounts.
Note
Active users do not have any data in the archived column. Users who are currently archived will have TRUE in the archive column.
- Remove any archived accounts you do not wish to reactivate.
- Keep that file open as you'll need it to transfer key data to the import template.
- If you aren't there already, select the Users tab in the Site Admin page.
- Click the Add new user dropdown, and from the actions menu select Import users from a CSV file.
- Select the desired role, Staff or Student.

Download the CSV template.
Recommendation
Save this template with a specific name that will be easy to identify in the next few steps.

Transfer the related data from your export into the template for the user role template selected. It is important that the column headers in the import template are not changed, otherwise the import will fail.
Note
Students: If you selected the import template for students, only transfer student information from the export to the template. The middle_name and school columns are optional. When a value in the username column of your .csv file matches the username of an existing archived student, the import will reactivate and update that student user instead of creating a new one.
Staff: If you selected the Staff template, only transfer the related staff information from the export to the import template. The middle_name, school, and role columns are optional. When a value in the email column of your .csv file matches the email address of an existing user, the import will reactivate and update that staff user instead of creating a new one. - Save your import template(s).
- Click Select a document.
- Navigate to the location where your CSV is saved, select that document, then click Open. Files are commonly saved to a Downloads folder unless you've specified a new location.
- When the name of your saved file appears below the green Select a document button, click the Upload button to reactivate and unarchive all of the users included on your file.

Before the final import, review the sample of the first few entries to ensure the data is correct, then click Upload.
Caution
If the data doesn't appear correctly, click Cancel, review your CSV file for any issues, save your file, then upload your file again.
- Your import will now get processed. You will be automatically directed to the User Jobs tab. From here, you can review the status of your import.
- If you import a large number of users, it may take a few minutes to process. Check back later on the User Jobs tab to review the status of your import.
